Last updated 2 October 2026

1. General provisions

These Terms of Service ("Terms") govern the use of the Sourcemint application and website at getsourcemint.com (the "Application") and the services provided through it (the "Services"). Sourcemint helps specialist teams turn CVs into structured candidate profiles and client-ready documents.

The Application is provided by SOURCEMINT spółka z ograniczoną odpowiedzialnością, a limited liability company with its registered office at ul. Jarosza Henryka Derdowskiego 26/2, 80-310 Gdańsk, Poland (KRS 0001270104, NIP 5842890474, REGON 545828441, share capital PLN 5,000.00) (the "Provider"). Contact: contact@getsourcemint.com.

By creating an Account or using the Application you accept these Terms. If you accept them on behalf of an organization, you confirm that you are authorized to bind it.

2. Definitions

  • Service Recipient — the entrepreneur or organization that uses the Services in the course of its business.
  • User — a person authorized by a Service Recipient to use the Application under an Account.
  • Account — the User's area in the Application, giving access to its functions.
  • Content — everything entered into or uploaded to the Application, including CVs, profiles, templates and the documents generated from them.
  • Service Agreement — the agreement between the Provider and the Service Recipient for the Services, concluded under section 5.
  • Privacy Policy — the policy at getsourcemint.com/privacy.
  • GDPR — Regulation (EU) 2016/679.

3. Technical requirements and availability

To use the Application you need a device with an internet connection, a current web browser that supports JavaScript and cookies, and an active email account.

The Provider applies technical and organizational measures to protect the Application, including encryption of connections. Using the internet carries risks of malware and unauthorized access, and you should protect your own devices.

You may not use viruses, bots, scraping or automation scripts, or other tools that disrupt or overload the Application or circumvent its limits or security.

The Application is an integrated whole and its functions cannot be switched off individually. The Provider decides which functions are available and may change them. While the Application is in beta, the Provider does not guarantee its stability, and features may change or be withdrawn.

4. Rules of use

  1. Service Recipients and Users must comply with the law, these Terms and good practice.
  2. By creating an Account you confirm that the data you provide is accurate and you undertake to keep it up to date. The Provider may ask for proof that a User may represent the Service Recipient; a person acting without authority is liable under the Civil Code.
  3. The Services are for professional, business use only.
  4. You may not provide unlawful Content or Content you have no right to use.
  5. You are responsible for having a legal basis for the personal data you upload, and for giving the people concerned the information required by Articles 13 and 14 of the GDPR. The Provider is not liable for the consequences of providing inaccurate or incomplete data or data without a legal basis.
  6. The Application uses large language models (LLMs) and machine learning to read and structure CVs and to format profiles. Their output can be incomplete or wrong. You are responsible for reviewing profiles and generated documents before using them or sending them to anyone, and for adapting the Services to your professional needs.
  7. You may delete any Content you have entered into the Application.
  8. Notices and information may be sent to you by email unless these Terms say otherwise.

5. Account and Service Agreement

You open an Account by signing in on the Application's sign-in page with an email link or with a Google or Microsoft account. The Service Agreement is concluded for an indefinite period when you first get access to the Services, and is governed by these Terms. You may complete your Account details, such as name, company name and billing information.

With an Account you can, depending on the functions available:

  • upload CVs and have them converted into structured profiles;
  • edit, save, view, download and delete profiles;
  • generate documents from profiles using the available templates.

If Content or use of the Services breaches the law, these Terms or good practice, the Provider may terminate the Service Agreement with 7 days' notice by email, after which the Account is deleted. To stop continuing violations the Provider may block access immediately. The Provider may verify data you provide and refuse the Services if it is found to be inaccurate. You may stop using the Services and delete your Account at any time.

6. Fees

Some functions may be offered free of charge, for example during beta or as part of a promotion or trial. If the Services become chargeable, the fees, billing periods and any usage limits will be shown in the Application before you buy and will apply from the date you accept them. Prices are net of VAT unless stated otherwise. Changes to prices do not affect fees you have already paid and are not amendments of these Terms.

7. Licence

On conclusion of the Service Agreement the Provider grants the Service Recipient and its Users a non-exclusive, non-transferable licence to use the Application for the term of the Service Agreement, in accordance with these Terms. The licence allows you to access your Account data, save Content and generated documents to your own devices, and reproduce, edit, download and view them as needed for your professional activity. You may not sublicense the Application. Use beyond the licence is an infringement of the Provider's copyright.

You keep all rights in your Content. You grant the Provider the right to host and process it, including with the subprocessors described in the Privacy Policy, solely to provide the Services to you.

8. Personal data

To the extent the Provider processes personal data contained in your Content on your behalf, it does so under the data processing terms in Appendix 1, which form part of these Terms. The Provider processes personal data of Users and Service Recipients as a controller, as described in the Privacy Policy.

9. Provider's intellectual property

The Application and its components, including its name, logo, graphics, interface, software, source code and databases, are protected by copyright, industrial property and unfair competition law, including Polish and EU law. You may not use them without the Provider's prior written permission, except as these Terms allow.

10. Complaints

You may complain about Services that do not conform to these Terms by email to contact@getsourcemint.com, giving your name or company name, the email address of your Account, a description of the problem and what you request. The Provider will respond by email within 30 days of receiving a complete complaint.

11. Liability

The Provider provides the Services with due care and will make reasonable efforts to keep the Application available, but it may be temporarily unavailable or restricted for maintenance, upgrades or development. The Provider does not guarantee uninterrupted availability.

To the extent permitted by law, the Provider is not liable for:

  • unavailability caused by circumstances it does not control, force majeure, or acts of third parties;
  • lost profits;
  • use of the Services contrary to these Terms, the Service Agreement or good practice;
  • damage caused by incorrect, incomplete or false data you entered, or by relying on AI output you did not review;
  • interruptions to availability caused by maintenance.

To the extent permitted by law, the Provider's total liability to a Service Recipient under or in connection with the Service Agreement is limited to the fees paid for the Services in the three billing periods before the event that gave rise to the liability. Nothing in these Terms excludes liability that cannot be excluded by law, including for intentional wrongdoing.

12. Changes to these Terms

The Provider may amend these Terms when the subject matter of the Services changes, when services are added, changed or discontinued, when technical changes to the Application require it, when the law requires it, or for other justified reasons. The amended version will be published at this address and, for planned changes, at least 14 days before they take effect, with account holders notified by email. If you do not accept the changes, you may terminate the Service Agreement within 7 days of the notice by email, effective at the end of that month. The Provider may also change the functions of your Account during the Service Agreement and will inform you of such changes.

13. Final provisions

These Terms are governed by Polish law. Disputes are decided by the Polish court with local jurisdiction over the Provider's registered office, unless mandatory law provides otherwise. These Terms are effective from 2 October 2026.

Appendix 1 — Terms for the processing of personal data on your behalf

These terms are the data processing agreement under Article 28 GDPR between the Service Recipient (the "Controller", or a processor authorized to engage the Provider as a sub-processor) and the Provider (the "Processor"), and apply for as long as the Provider processes personal data in your Content.

  1. Subject matter and instructions. The Processor processes the personal data in the Content only on the Controller's documented instructions and only to provide the Services. These Terms, the Service Agreement and your use of the Application's functions are the Controller's documented instructions.
  2. Categories of data and people. Data of Users (name, position, email address, telephone) and of candidates, employees, contractors and vendors (name, date of birth, contact details, links to professional profiles, education, qualifications, employment history and other data included in CVs). Special categories of data under Article 9 GDPR and data on criminal convictions under Article 10 should not be uploaded.
  3. Nature and duration. Storage, structuring with automated systems including AI models, display, editing, formatting, export and deletion, for the term of the Service Agreement.
  4. Controller's responsibilities. The Controller confirms it is a controller of the data or is authorized to entrust it, has a legal basis for the processing, and will not give instructions that breach the law.
  5. Confidentiality. The Processor ensures that people authorized to process the data are bound by confidentiality.
  6. Security. The Processor applies appropriate technical and organizational measures under Article 32 GDPR.
  7. Subprocessors. The Controller gives a general authorization to engage subprocessors, currently those listed in the Privacy Policy. The Processor imposes on them data protection obligations equivalent to these, informs the Controller of intended additions or replacements, and the Controller may object on reasonable grounds within 7 days; if the objection cannot be resolved, the Controller may terminate the Service Agreement.
  8. Assistance. The Processor assists the Controller, taking into account the nature of the processing, in answering requests from data subjects and in meeting its obligations under Articles 32 to 36 GDPR, and forwards to the Controller without undue delay any request it receives directly from a data subject about the Controller's data.
  9. Personal data breaches. The Processor notifies the Controller without undue delay after becoming aware of a personal data breach affecting the Controller's data.
  10. Audits. The Processor provides the information needed to demonstrate compliance with Article 28 GDPR and allows audits by the Controller or its auditor, on reasonable written notice of at least 14 days, subject to confidentiality and without disrupting its operations.
  11. Transfers. Transfers outside the European Economic Area take place only under the safeguards described in the Privacy Policy.
  12. Return and deletion. On termination of the Service Agreement the Processor deletes the Controller's personal data, or returns it on request made before termination, within 14 business days, unless the law requires longer storage.
  13. Liability. A party that breaches these terms or the GDPR to the damage of the other compensates the actual damage, subject to section 11 of the Terms.
